Assists in training logistics and compiling of provincial reports.

Minimum Requirements

• Grade 12 and a diploma or qualification in Office Administration or relevant qualification • 2 years’ experience in an administrative role • Computer literacy in MS office package • Intermediate level computer skills (MS Office) • Proficiency in English, isiXhosa or any other South African Languages • Clear criminal record

Duties and Responsibilities

• Screening of phone calls, redirecting calls and taking messages • Ensure that meeting rooms and boardroom booking calendar is being used to book venues and manage conflicts as and where necessary • Ensure that a staff register is available daily for all site based staff • Reports all non-adherence to sign in/out procedures to the Programme Administrator • Welcomes & directs visitors • Ensure that all office equipment is kept in good working order, maintained and serviced when required • Ensure outgoing mail is prepared for posting, courier collection and incoming mail is collected on a daily basis • Maintains a filing system for easy retrieval of records and documents • Management of supplies inventory by checking stock levels, anticipating needs and expediting orders for supplies • Petty cash reconciling and reporting • Collects, loads and files monthly timesheets for all staff • Assists with administrative and other related duties as assigned • Ensure that the reception door is closed at all times • Ensure that all site staff access the office by means of the biometric reader and only opens the door for visitors, deliveries and/or security reasons • Assist with the coordination of all training logistics • Maintain a database of training • Submit training authorisation requests once reviewed and approved by the Programme Director
