Ferrero South Africa currently has a vacancy for the Time and Officer position based at the Walkerville Factory
Main Responsibilities:
Job functions
Provides technical and process to the end users of the Paxton system in site . This includes but not restrited to the training users on the system. Set up Paxton users on the system and allocate approprinate user profile for Paxton . Approves profiles for those who manages emplpyees who clock using specific biometric readers to record their actual time on th line. In active approvers/shift schedulers when they exit site or change roles which no longer requires these profiles in the Paxton system. Maintain and create paxton contratc rules and benefits in line with the union site agreements . Create, test and obtain sing off of changes made to the Paxton hierachy before moving to the live system. Conduct training on the Paxton system. Ensure the new scheduler /approvers are trained /upskilled on how to operate the Paxton system as appropriate , on joining the site, or move into the paxton shift scheduler /approver role. Set up new employee onto the paxton system. Complete missing master data required on SAP and Paxton concurrently. Allocation of both approvers/line manager and relevant department Instruct security to record employees fingerprints to activate access to Paxton for time recording and access control on site. Run weekly reports and month end audit report to monitor Paxton time created and efficient reporting . Do follow up and reminders with approver to action in Paxton before payroll deadlines. Investigate and perform root cause analysis for escalated /identified Paxton system .Take appropriate corrective actions to resolve , if a techincal problem beyoind scope of this role, issue to be logged as an incidents with the external rpvider help desk forthem to send a consultant to resolve issue wit the agreed SLA Audit of the user licences on a quartely basis. Identify where this is happening and why and propose solution to the site users. Perform regular analysis of number of requests for additonal licenses needed.
Administration
Capture request for all categories of leave as per authorized leave forms received such as:
- paternity leave
- compassionate leave
- study/exam leave
- annual leave
Esure deadlines are met as per advised timelines for payroll processing .Ensure site employees /manager are aware of the process timelines into their actioning any annual/accumulated leave requests they have ,prior to advised deadline/cut off date. Ensure system /employee data is clean an accurate prior to info being sent to payroll for payment of valid leave balance as per policy . Investigate/respond to any queries raised by employees /line managers timeously.
Labour Planning
Ensure that the delared labour hours on the production lines and on the T & A system correlate with the number of people present . Ensure that the attendance register match with what is on the Paxton system. Prepare exception reports and weekly reports for efficiency meeting and sim meetings. Ensure that the labour planning in conjuction with the temporary employemnt service is implemented as per the labour plan. Validate labour hours variance with the industrial controlling team. Ensure that the booked hours are in line with the declared hour in production for payroll purposes.Ensure that the hours are booked as per the cycle counts . Jointly with the IR officer alert the relevant manager of habitual absenteeism and late coming.
Who we are looking for:
Matric with Math’s and Science *Must have a completed related bachelor’s degree or National Diploma in information Technology • +/- 2 years Previous HR admin experience dealing with Leave + Absence / time & Attendance in a medium to large factory environment. (+100 employees) • Previous demonstratable experience in supporting IT system would be an advantage Other Skills: SAP would be advantageous Be able to provides in-depth knowledge of Paxton/I. Browse systems, to build skills as Super User into technical and processing knowledge. Must have an interest in, and affinity for, computers & programs, with the ability to quickly understand these, and enjoy the challenge of maintaining system integrity at all times, performing route cause analysis of Software or Hardware it glitch’s, etc, before calling in the external provider into SLA contract. Able to Work autonomously, with minimal supervision. Must be able to communicate with all levels of employees (e.g. Snr management, Engineers, Blue Collar workers, Office admin, and Shop Stewards, etc.) in a professional and knowledgeable manner at all time, instilling confidence and trust in knowledge and abilities. Analytical thinking and problem-solving ability Numeracy Skills. Communication skills. Self-Driven, Able to priorities work and operate under tight pressure / deadlines. High level of integrity. High Attention to Detail Above Average PC skills. Team commitment
