Full Job Description

Our office is looking for an experienced receptionist who can help our team operate more efficiently. As our receptionist, you will be the first point of contact with our clients. This is an important role that will set the tone for our company’s relationship with each client.

In this position, your job will be to provide administrative support to our entire organization. You will need to welcome guests, answer their questions, and direct them to the appropriate employee. You will also need to answer and redirect phone calls.

Other responsibilities include distributing correspondence, booking of the meeting room, sorting mail, and correspondence to clients. Qualified candidates will have strong communication and organizational skills as well as a demeanour that is both warm and professional.

Must live within the Durban North / Gateway area

Duties

  • Toreceive all clients in a professional manner and notify the relevant member of staff of the client’s arrival
  • To answer all external calls in a professional manner and direct the calls to the relevant member of staff
  • All telephone messages to be sent to the relevant member of staff via e-mail
  • To receipt all incoming documents for service and to hand deliver the document to the relevant member of staff
  • To provide correct and accurate directions to the office
  • Attend to clients in a prompt, professional and friendly manner
  • Ensure general tidiness of the reception and waiting area
  • Notify the relevant staff member of their client’s presence
  • To provide refreshments to client’s attending on the office
  • Typing of correspondences
  • Assist with various administrative tasks, such as copying, email correspondence & filing
  • Other general administrative functions

Desired Experience & Qualifications

Matric

Proven experience in an office setting and as a receptionist, front office representative, or a related position – References will be required.

Operating of switchboard

Must have Computer Literacy with knowledge of MS Office Suite / Microsoft Word/Excel/Powerpoint/Outlook (Basic -intermediate).

Office 365 & Sharepoint proficiency (Intermediate – Advanced).

Typing skills & accuracy

Job Type: Full-time
