To provide a secretarial and effective administrative support services to the General Manager, Works Manager and FA Manager at the Business Unit.
SAFETY, HEALTH, ENVIRONMENT, and QUALITY
- Identify and assess level of continuous risk exposures in area of responsibility by considering exposures to business, financial, legal issues
- Participate and comply with SHEQ requirements (SHEQ Toolbox)
- Ensure the OHSA and environmental standards are maintained
- Utilise the Information Management System (IMS) to initiate, investigate and report SHEQ status
- Adhere to all related SOP’s, PTO’s and CTO’s as per Training Matrix per position, SHEQ and company standards
- 5S Management
CUSTOMERS
- Ensure Customer Satisfaction
BUSINESS PROCESSES:
- Receive and attend to all visitors in the Admin building
- Organize special occasions for management functions and other events where required
- Plan and schedule monthly management meetings
- Typing of minutes of management meetings
- Receive, distribute, and dispatch mail
- Schedule meetings and update the General Manager, Works Manager and FA Manager’s Outlook calendar as and when required
- Filter General Managers E-mails in their absence and respond to urgent E-mails
- Make travel accommodation arrangements as required
- Maintain stationery and office supply stock levels
- Maintain refreshments stock levels
- Creating purchase order and other procurement documents on the COUPA system
- Process departmental invoices
- Process departmental Service Entry Sheets
- Compile general reports if required
- Ensure proper document control on the system for all incoming and outgoing communication
- Maintain the office filing system
- Maintain the Departmental notice boards
- Coordinate the cleaning of the office
- Coordinate activities to motivate and maintain standard of work for other Administrators at the Business Unit
- Work overtime as and when required
- Carry out duties’ incidental to this role

Minimum Requirements:
- Grade 12 or N3
- Three (3) years relevant experience
- Computer Literacy (MS Office) at an advanced level
- Driver’s License (B/ Code 08)
Additional Requirements:
- Relevant Administrative or Secretarial qualification obtained through a recognised institution
- SAP and COUPA user experience
